I bet you had to make 3 weekly calls to clients who forgot their appointments, right? I stopped making calls once I started using appointment confirmation emails.
But simply sending a confirmation isn’t enough.
Any generic email won’ t do you any good. A generic email can lack details or have a cluttered layout. It can still create confusion, missed appointments, and unnecessary back-and-forth.
So, to ease the struggle, I found 10 appointment confirmation email templates. All of them have everything you may need or want. Have a look at them and use them for the right people.
Why Appointment Confirmation Emails Matter More?
Appointment confirmation emails matter more because people actually read them. Appointment confirmations regularly get 50–60% or higher open rates.
The engagement doesn't stop there.
Those transactional emails also generate an average click-through rate of 4.8%. It is nearly double the industry average. Crazy right? I was surprised to see that when the 15–25% click-to-open rate (CTOR) don't just open these emails.
They actually interact with them by confirming appointments. They even add events to their calendar or check booking details. So, that naturally reduces the chance of miss appointment.
What Should an Appointment Confirmation Email Include?
If you don’t wanna loss your booked clients simply because of wrong or misinformation, then include that in your mail:
Appointment Date and Time
Date is the first thing people look for, so make it impossible to miss. Include the full appointment date, day of the week, time, and time zone if your business serves customers in different locations.
Don’t hide it inside a long paragraph. You need to place them near the top of the email so customers can find them at a glance.
Appointment Location or Meeting Link
Now, the most important part of in-person appointments is to include your business address along with any helpful directions or parking information.
If it's a virtual meeting, provide the meeting link and mention the platform, such as Zoom, Google Meet, or Microsoft Teams. So, customers know what to expect before joining.
Contact Information
Sometimes plans change, or something can come up. So, case customers need help before their appointment. Don’t let customers dig it up for themself. Give them contact info before they even ask.
That's why I always include a phone number, email address, or another support option in every confirmation email.
If someone has a question, they shouldn't have to search your website just to find your contact details.
Confirmation Number or Booking Reference
If your business handles multiple appointments every day, a booking reference can make things much easier.
Customers can quickly refer to their confirmation number if they need to reschedule, cancel, or contact your team. It also helps your staff locate appointments much faster.
A Clear Call-to-Action
I always try to keep the next step as obvious as possible. If I want someone to confirm their appointment, I add a "Confirm Appointment" button.
If it's an online meeting, I use "Join Meeting." And if they might need to change the booking, I include a "Reschedule Appointment" button.
But yes, still, I avoid cramming the email with too many buttons because it just makes people stop and think about what to click. Cause emails with one clear call-to-action get 371% more clicks than those with multiple competing links.
Sometimes, keeping it simple really does work best. The point is to make it about conversion, not about scamming.
